This policy explains what we do with information about you when you use proptivity.com, our coverage tools, or any of our forms. Our cookie notice lists every cookie we use.

Who we are

Proptivity provides indoor mobile coverage for buildings. Two of our companies are responsible for the information described here.

Proptivity AB looks after this website, our coverage tools, our measurement technology, and everything our forms collect. Registered in Sweden, company number 559312-6088, KIVRA: 559312-6088, SE-106 31 Stockholm.

Proptivity UK Ltd looks after UK enquiries, UK business relationships, and everything sent through our referral form. Registered in England and Wales, company number 15819816, Southwinds, Rucklers Lane, Kings Langley, WD4 9ND.

Either way, email info@proptivity.com and we will deal with it.

We also have companies in Norway, Denmark and Italy. If your information goes to one of them, they become responsible for what they do with it. Ask us for their details if you need them.

Because Proptivity UK Ltd is a UK company, UK data protection law applies to what it does. If you are in Europe, EU data protection law applies.

This applies to you if you

• browse our website
• use our Coverage Checker
• fill in any of our forms
• refer a property to us, or have been named in someone else’s referral
• receive our emails, or meet us at an event and give us your details

What we collect, and why

Each section below says what we take, what we do with it, why we are allowed to, and how long we keep it. The last one is the legal ground we rely on. There is a plain explanation of those grounds at the end.

If you use our contact form

We take your name, email address and message, and use them to answer you and keep a record of the conversation.

The form is run by HubSpot, so your message is stored there as well as reaching us by email. HubSpot also remembers which pages you looked at before you got in touch, and attaches that history to your name once you submit the form.

Ground: legitimate interests, or steps towards a contract. Kept for 24 months after we last spoke, or through a business relationship and six years after.

If you use our Coverage Checker

We take the building you search for, how you use the map, your IP address, and basic details about your browser and device. We use this to give you a result, improve the tool, and understand which buildings and areas people are asking about.

A building address is not usually information about a person. It can be, if the building is someone’s home, or if we can connect the search to your IP address or your contact details.

The map comes from Mapbox, which sees your IP address. The tool cannot work without a map, so this loads as part of the tool itself.

Ground: legitimate interests, plus your consent for cookies. Kept for 12 months.

If you ask for a detailed assessment

We take your name, email address and the building address, and use them to produce the assessment, send it to you, and follow up.

This form is also run by HubSpot, so the same page history applies, including any Coverage Checker searches you ran earlier.

Ground: steps towards a contract, and legitimate interests. Kept through the discussion and six years after we last spoke.

If you refer a property to us (UK)

Proptivity UK Ltd is responsible for everything sent through this form.

We take your name and email address, the property’s address, who owns or manages it, and its size and characteristics. We also take the names, job titles, employers and work contact details of the people at the property we may need to speak to, along with whatever you tell us about the opportunity.

If you have been named in a referral, we obtained your professional information from the referral partner who submitted it. We will send you this policy when we first contact you, and in any event within a month of receiving your details. You can object at any time.

We use this to work out whether the referral is one we can act on, to track it, to keep you posted, to approach the property about indoor coverage, to work out whether a referral fee is due, and to keep the records that accounting and tax rules require.

Referral information is stored within our Microsoft 365 environment.

It is seen by the Proptivity UK team, led by our UK CEO, and by colleagues elsewhere in Proptivity if the opportunity needs them. Microsoft holds the data for us.

Ground: legitimate interests, a contract with you where a fee arrangement exists, and legal obligation for the accounting records. We have written down our reasoning on legitimate interests and will share a summary if you ask. Kept for six years after the referral closes, because that is how long someone has to bring a contract claim in England and Wales. Accounting records for fees we have paid may be kept for seven years.

If you sign up for our emails or events

We take your name, work email address, company, job title and what you told us you are interested in. We also record whether you open our emails and what you click.

Ground: your consent, or legitimate interests for business marketing to work contacts. You can unsubscribe at any time and we will act on it straight away. Kept until you unsubscribe, then 24 months on a do-not-contact list so we do not email you again by accident.

While you are on the site

We use these tools today, more might be added or removed:

Between them these see your IP address, cookie identifiers, the pages you view, where you came from, how long you stay, and what browser and device you use.

This is not anonymous. IP addresses and cookie identifiers count as information about a person under data protection law, even though we are not using them to work out your name. And identifying the organisation can identify the person, if they work alone or in a very small firm. We would rather say so plainly, so that you can object if you want to.

We use all this to see how the site is doing, to improve it, to measure our advertising, and to spot organisations that might need indoor coverage.

Ground: your consent for anything stored on your device, and legitimate interests for the analysis afterwards. Google Analytics data kept 14 months, organisation identification 12 months, HubSpot visitor cookies 6 months.

Cookies

A few cookies are essential. The site cannot run without them, and one of them has to remember your cookie choice, so these are set automatically.

Everything else waits for you. Analytics, organisation identification and advertising are all held back until you accept them. Say no, or close the banner without choosing, and they never run.

You can change your mind whenever you like using the cookie settings link in the footer. Saying no later is exactly as easy as saying yes was.

Embedded things like LinkedIn posts and videos are held back the same way. You will see a placeholder and can load it if you want. Once loaded, those companies set their own cookies and answer for them themselves.

Our cookie notice lists every cookie, who provides it, what it is for and how long it lasts.

Who else sees your information

We never sell it.

It goes to other Proptivity companies when the opportunity is in their market, and to property contacts in the referral situations described above. The companies that run things for us see it: HubSpot for our forms and marketing, Microsoft for storage, and our analytics, organisation identification, mapping and AI providers. LinkedIn and OpenAI receive advertising data and answer for it themselves. Our professional advisers see it when we need advice, authorities and courts when we are required to show them, and a buyer would inherit it if we sold the business.

Everyone acting on our behalf is under a contract that meets the legal requirements for handling other people’s data. The companies setting cookies are named in our cookie notice, and you can ask us exactly who has received your own information.

Where your information is held

Referral information sits in our Microsoft 365 environment. Contact form and assessment information sits in HubSpot’s European data centres. Snitcher stores in the European Union.

Information moves both ways between our Swedish and UK companies. Both countries are officially recognised as providing equivalent protection, so nothing extra is needed. The European Commission renewed that recognition for the UK on 19 December 2025, and it runs to December 2031.

Our advertising and measurement providers, including Google, LinkedIn and OpenAI, may handle data outside the UK and Europe. Where they do, we rely on the approved legal safeguards for those transfers. Ask us and we will tell you which one applies.

Keeping it safe

Your information sits in HubSpot and Microsoft 365, behind access controls, multi-factor login, and encryption both in storage and in transit. Only the people who need referral and enquiry information can see it.

Your rights

You can ask us to:

• tell you what we hold about you, and give you a copy
• correct anything wrong
• delete it, where we have no good reason to keep it
• pause our use of it while we look into a complaint about accuracy
• send it on to you or someone else in a portable format
• stop, where we are relying on legitimate interests
• stop emailing you, which we will always do, no questions asked
• withdraw your consent, where consent is what we relied on

Withdrawing consent does not undo what we did beforehand. No computer makes decisions about you here.

Email info@proptivity.com. We will reply within a month, and tell you if something complicated needs longer. It is free. We may need to check you are who you say you are first.

If you are unhappy

Email info@proptivity.com with “data protection complaint” in the subject line. We will acknowledge it within 30 days, look into it, and tell you what we found.

You do not have to come to us first. You can complain to a data protection regulator at any time:

The legal grounds, explained

Data protection law says we need a reason before we can use information about you. These are the ones we rely on.

Legitimate interests. We have a genuine business reason, and we have thought about whether it is fair to you. Most of what we do sits here: answering enquiries, following up on opportunities, understanding our website, and reaching out to people in their professional roles. You can object, and we have to stop unless we can show our reasons outweigh yours. (Article 6(1)(f))

Contract. We need the information to do something you have asked for, or to take the steps leading up to an agreement. (Article 6(1)(b))

Consent. You said yes, and you can say no again later. This covers cookies and email subscriptions. (Article 6(1)(a), and regulation 6 of the Privacy and Electronic Communications Regulations for anything stored on your device)

Legal obligation. The law requires us to keep it, mainly for accounting and tax. (Article 6(1)(c))

The law referred to above is the UK GDPR and the Data Protection Act 2018 as amended by the Data (Use and Access) Act 2025, or the EU GDPR if you are in Europe.

Changes

We review this policy regularly, and whenever we add a new form, tool or measurement technology. Anything significant gets flagged on the website. The date at the top tells you when it last changed.
